Member and account information
We keep names, email addresses, account identifiers, access status and related dates to manage accounts and send chapter notices. Member access is based on the chapter's approved roster.
For forum members, we also store preferred names, profile biographies, name confirmations, posts, replies and reports.
Google sign-in and Gmail access
We use your Google name, email address, verification status and account identifier to verify approved access. Sign-in records may also include a profile photo link, except for forum accounts. We do not receive your Google password.
The chapter separately authorizes Gmail to send newsletter notices. We store the connected account details and an encrypted sending credential. This permission does not allow inbox reading or access to members' Gmail accounts.
Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
Who can see forum activity
Only approved members can view forum discussions and profiles. Posts show your preferred first name with your roster last name, when available, or your roster name. Members can see your full roster name and biography on your profile, along with your posts and replies. Your email address is not shown to other members.
Authorized chapter staff can access membership records. Moderators can review discussions and see who submitted a report. Reports are not anonymous.
Members can copy or share what they read. The forum is not a confidential reporting channel. Avoid posting student records or private information about other people.
Newsletter notices
Active approved members may receive newsletter notices at their roster email address, even before signing into the forum. Recipients cannot see other members' email addresses. We keep recipient names, addresses, sending times and results to manage notices and investigate problems. Only authorized chapter staff can access recipient addresses. We record whether Gmail accepts a notice, but do not track opens or confirm inbox delivery.
Published newsletters, PDFs and chapter contact details are public. Uploaded newsletter images are accessible to anyone with their image link, even before publication.
Cookies and technical records
Essential cookies support sign-in, account security and the chapter's Gmail connection. Blocking them may prevent these features from working.
We log account and forum activity, including account identifiers and timestamps, for security and moderation. Technical records may include IP addresses and browser information. Our hosting provider also processes traffic and security records.
We do not sell personal information or use advertising trackers or targeted advertising. Browser Do Not Track settings do not change essential sign-in or security processing.
Services that process information
We use Google for sign-in and chapter email, Neon for stored records and PDFs, and Vercel for hosting, images and newsletter processing. These providers process information needed to provide their services.
The contact form opens a draft in your email app without submitting it to the website. Messages you send are handled by your email provider and the chapter's inbox. Newsletter notices also pass through recipients' email providers.
We may disclose information when necessary to investigate misuse, protect the site or comply with applicable law.
Retention and removal
Account, forum, newsletter and activity records have no fixed automatic deletion schedule. Signing out, losing access or hiding a post does not necessarily erase stored information.
Some records may be retained for security, moderation, chapter administration or legal obligations. Copies may remain in provider logs, backups and recipients' inboxes, or in content members have saved or shared.
Your choices and requests
You can edit your preferred name and biography in your forum profile. Contact the chapter below to correct account details, stop newsletter notices, or request access to or deletion of your information. We may need to verify your identity.
You can revoke this site's Google permissions in your Google account settings. Revoking permission does not erase information already stored on the website.
Security
We restrict access to personal information and use encrypted connections and safeguards against unauthorized access. No website can guarantee complete security. Report suspected misuse to the chapter.
Policy updates
We will update this page and its effective date when our practices change, and announce material changes through the website or a chapter notice. We will request any additional permission required before using Google data in a new way.
